Poste et missions

Job Purpose: Supervises, supports and provides admin services for all Regional Offices and internal stake holders. In addition to this the job also manages the contracts /contractors and bodies to ensure compliances. This position is also responsible for the coordination of in-house facility management and stock management and tracking of office supplies. Principle Accountabilities include:

  • Supervises, supports and is the focal point for all Regional Offices in the Region to implement the terms of the contracts of all services providers and arrange their on-time payments.

  • Coordinate with In-house facility management team for daily operational issues regarding security, safety, maintenance, deep cleaning, fumigation and overall housekeeping at the site.

  • To carry out preventive and break down maintenance of Air Conditioning units, gensets and lifts in the regional offices.

  • Support the Real Estate team during projects execution and verification of claimed quantities against the completed jobs once the projects have been completed.

  • Monitor and oversee the attendance and performance of all help staff in the regional offices.

  • Daily site walk around offices to observe any HSSE issues in the facility, maintain a tracker and report to HSSE Manager & Administrative head of the respective office. Ensure routine safety drills are performed in line with drill plan.

  • Manage the seating plan in the office and make necessary changes to seating plan based on increase or decrease of FTE’s in the office.

  • Issue work permits to contractors after inspection of work site and work contents and risks involved ensuring all aspects of PTW system are fully enforced.

  • Measure key customer and end-user satisfaction with support services, and execute improvement plans as appropriate.

  • Monitor and review with administrative head of the office monthly expenses of the regional office and see avenues where we can optimize spend without compromising on quality of service being provided.

  • Manage the operations (where applicable), of the day care services, fitness center and lunchroom for the regional office staff. In the city where there is a company guest house, then the resource will be the administrative head of the team managing the guest house. Take initiatives to enhance the delivery in these areas.

  • Procurement focal point of various daily use items for the Site. 

  • Vendor management, Conducting toolbox meetings with Drivers, Supervisors, contractors and contract staff.

  • Support in the implementation of global standards and liaise with global teams for process streamlining and optimizations.
